Document Conversion Approach
QFI’s document conversion approach is consultative. Our standard approach to a project is to determine requirements and methodologies through discussion with the client and, before project start, perform a small-scale sample conversion. Through this process, the QFI team gains in-depth, detailed knowledge of the project requirements and client expectations. We serve as an advisor and help fine tune the requirement details throughout the sample conversion process, generally executed as follows. Once initial requirements are determined, sample documents are processed accordingly. The converted documents are provided to the client for review and, based on the results of the client review, project requirements are refined or finalized. As a result, the client is comfortable with the process, including any client responsibilities and tasks, and is assured the conversion requirements meet their needs. Upon client acceptance of the sample conversion, QFI will provide a proposal containing a detailed Statement of Work and itemized per unit pricing. The proposal will be priced aggressively and designed to complete the project on time, on spec, and within budget. In our business, more than most, the old adage "the devil is in the details" applies. The extent to which an organization and conversion vendor understands the requirement details will largely determine final cost, and ultimately the success of the project.
Project Management and Execution
Once we are awarded a task order or contract, the project is assigned to a production team. The project is managed by supervisors, and documents are physically and electronically monitored. Specific procedures are developed for each project, with many quality assurance (QA) steps performed throughout the conversion process. The following processes are typical of many conversion projects:
- Document Inventory, Pickup, and Transportation
- Job Tracking Check-in
- Document Preparation
- Scanning
- Scanning QA
- Conversion to Target Format
- Indexing
- Indexing QA
- Foldering and File Naming
- Data Accuracy Verification and Electronic Data Checks
- Deliverable Production and QA
- Packaging and Delivery
- Document Disposition
